We like this stuff simple, but membership data and UK GDPR deserve a proper explanation. Here’s the honest version.

1. Who we are

Dokkadoki (a limited company) operates this website (dokkadoki.co.uk) and a membership service. If you have any questions about this policy or how we handle your data, email admin@dokkadoki.co.uk.

2. What we collect, and how

Newsletter - if you sign up for our newsletter, we store the email address you give us and the date you signed up. That’s the lot: no names, no tracking profiles.

Manga requests - we store the series name you request plus a one-way scrambled identifier derived from your connection address and a random value saved in your browser’s local storage. We use it only to stop repeat voting for the same series within a month. We do not store your connection address itself, but the derived identifier is still treated as private data.

Memberships - if you preregister for a reading pass or membership through our membership app, we collect:

  • Contact details: name, email, phone number.
  • Identity details: date of birth (so we can apply age-appropriate manga ratings and verify your identity at the café).
  • Address details: address line(s), city, postcode and country - required so we can contact you if a book is damaged, lost, or not returned.
  • Transaction details: which pass or plan you chose and payment status. Payment itself is taken in person at the café; we do not store card numbers.
  • Library details: a Libib account is created for you so staff can check manga out to you while you read in the café.

We do not collect payment card details, and the site runs no advertising or tracking scripts.

3. How we use your data

  • To run the membership service: check you in, verify membership status, check books out to you, and send your pass by email.
  • To send our newsletter (roughly one email a month with café news and events)
    • only if you’ve subscribed.
  • To respond to enquiries, manga requests, and customer service messages.
  • To keep our café and stock safe: contacting members about damaged, lost or not-returned books.
  • To meet legal obligations (e.g. tax records).

We never sell your personal data, and we never share it for advertising.

4. Lawful bases (UK GDPR)

  • Contract: running your membership and processing your transaction.
  • Legal obligation: keeping transaction records for tax purposes.
  • Legitimate interests: website operation, security, and protecting our stock and café.
  • Consent: newsletter marketing and anything else we ask you to opt into.

Where third parties process your data, we use contracts and safeguards required by UK GDPR. If you’d like to know the specific hosting region for any service, email us and we’ll tell you.

6. Cookies and local storage

The website sets no cookies and runs no analytics. The manga-request form stores one random identifier in your browser’s local storage so people sharing a connection can each vote once. It is not used to follow you around the web or build a profile.

The membership app uses essential session cookies to keep staff and member sessions secure while signed in. It does not set advertising or analytics cookies.

7. Sharing your data

We do not sell your personal data. We share data only with:

  • Libib - your name, email, phone, address and a library barcode, so we can check books out to you.
  • Resend - your email address, to deliver your membership pass.
  • Supabase - the hosting provider for membership data (they process data on our behalf).
  • Regulators, law enforcement, or legal advisers when required by law.

8. Data retention

  • Newsletter and request data: kept until you unsubscribe or ask us to remove it.
  • Membership records: kept for as long as your membership exists, plus transaction records for at least 6 years for tax/legal purposes.
  • Marketing data: kept until you withdraw consent.
  • After these periods, data is securely deleted or anonymised.

9. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data (you can ask us, or edit your details at the café).
  • Request deletion of your data (subject to legal requirements).
  • Restrict or object to processing in certain circumstances.
  • Data portability - receive a copy of your data in a machine-readable format.
  • Withdraw consent where processing is based on consent.

To exercise any of these rights, email admin@dokkadoki.co.uk or ask at the café. We’ll respond within one month.

10. Security

We take appropriate technical and organisational measures to protect your personal data - access-controlled database roles, server-only API keys, HTTPS, and staff-only access to membership tools. If you believe your data has been mishandled, contact us and we will investigate.
